Transactions submitted by end users must be approved by managers, any assigned approvers based on your Approval Routing, and final approving admins in Emburse Spend. You may review and edit, approve, or deny submitted transactions:
As a manager or admin, you can see connected corporate card transactions for your team by selecting Card Transactions in your Manager or Admin sidebar. As needed, you can remind users to submit transactions for approval from this screen.
Managers, approvers, and admins can also approve submitted reimbursable expenses in Emburse Spend.
Approve Submitted Card Transactions on the Website
1. To review and edit, approve, or deny a submitted transaction on the website, navigate to your Manager or Admin menu and select Card Transactions.
The Needs Review tab opens by default, but you may also filter transactions by Needs Manager Review, Pending Submission, Denied, or Completed. To learn how to create your own filters and save them, see Available Advanced Filters for Expenses and Transactions.
2. Select the desired transaction to open the View Details screen and review the information, paying attention to any warnings.
3. You may approve or deny transactions on the View Details screen one of two ways.
- Use the keyboard shortcuts at the top of the View Details screen.
- Or use the Approve or Deny buttons at the bottom of the View Details screen.
4. You can move to the next transaction needing approval by using the Navigation arrows at the top of the screen or by using the keyboard shortcuts.
Actions Column
You can edit, view details, approve, or deny the transaction using the More Actions button in the Actions column.
To edit a transaction in order to correct or supplement information provided by the employee, select the More Actions button and select Edit. Add or revise the information and select Save.
To approve individual transactions directly from the Transactions screen, select the Approve button in the Action column.
To approve more than one transaction at a time, check the boxes next to the transactions you would like to approve and select Approve.
To deny a transaction, select the More Actions button and select Deny to send the transaction back to the submitter.
Include a note telling the submitter what to fix and select Send Back.
Once a transaction is approved or denied, it appears on the Completed tab.
Approve Submitted Card Transactions in the iOS App
1. To approve submitted card transactions in the iOS App, tap on the Manager or Admin tab to view your team's transactions.
2. Review and approve transactions.
- Swipe left to approve multiple transactions at once.
- Or you can approve transactions individually by tapping on the expense, viewing the details, and tapping the Approve button.
Users have the options to add a comment or a note when approving an expense.
Approve Submitted Card Transactions in the Android App
1. To approve submitted card transactions in the Android App, tap on the Team tab to view your team's transactions.
2. Review and approve transactions.
- To approve multiple expense at once, tap the double check mark button in the top right.
- Or you can approve transactions individually by tapping on the expense, viewing the details, and tapping the Approve button.
Approve Your Own Corporate Card Expenses As an Admin
By default, administrators are prevented from approving their own expenses in Emburse Spend and should have a user with a manager role approve these. However, if your organization wishes to allow admins to approve their own expenses, an administrator with appropriate permissions may deactivate the rule preventing this.
1. Navigate to the Admin menu.
2. Select Expense Policies.
3. In the Rules section, toggle off "Prevent admins or managers from approving their own expenses."
