Emburse Spend Guided Implementation Expectations and Timelines

A Guided Implementation provides an Implementation Specialist to work with your organization's admins, walking them through the configuration of Emburse Spend and training them to maintain your account before deploying it.

Admins should be knowledgeable of your organization's accounting requirements and have admin access to the accounting system and online banking platform. They will typically be responsible for final expense approvals and maintaining your organization's Emburse Spend account.

Admins may also configure Emburse Spend. The Implementation Specialist will show Admins how to configure the account and will assist when needed. The accounting sync integration* with Spend and ensuing mapping* must be executed by an Admin.

This process will allow Admins to become familiar with the standard workflows undertaken to maintain an Emburse Spend account and empower them to make a confident and successful transition to a live state when they deploy Spend to the team.

Implementation Process

The implementation process comprises three calls over a two-week period.

  • Kickoff Call: Review accounting system integration*, how to upload data, and how to configure Emburse Spend.
  • Review Call & User Acceptance Testing: Review configuration, address open questions, discuss timing of training, and validate integrations.
  • Admin Training: Address final questions and train Admins on the necessary workflows they will need to be aware of before deploying the system to end users.

What to Expect During Your Spend Implementation

  • Once your Business Requirements Document has been completed, you will have an Implementation Specialist assigned to your account within two to five business days.
  • The average implementation length is two to four weeks from the Kickoff Call.
  • We will respond to emails within two business days.

What We Need from You to Do a Great Job

  • A designated contact to manage the implementation project for your team and act as the solitary decision-maker.
  • Delivery of the data requested by Spend in a timely fashion will move the implementation along faster.
  • Please ensure the data you send us is the complete, final version.
  • Achieve consensus regarding your team’s processes, objectives, and requirements in advance of scheduled meetings.
  • Please communicate in existing email threads rather than starting new ones.
  • Do not begin regular usage of Spend until the implementation is complete.

*Non-Integrated implementations are set up with a data export and require Admins to upload and map tracking fields.
