Configure Accounting Software to Emburse Spend Mapping
Emburse Spend can sync with Accounts Payable Software (APS) so that expenses appear in Emburse Spend with the correct expense account, class, department, and other custom fields. Sync both Team and Expense fields to accounting fields using QuickBooks*, Xero, NetSuite and/or Intacct.
The fields you can map depend on the accounting software you use. The available mappings are listed below:
- QuickBooks Online and QuickBooks Desktop: Maps to class and customer fields.
- Xero: Maps to the tracking categories field.
- Netsuite: Maps to location, department, and class fields.
- Intacct: Maps to class, department, location, customer, and item fields.
When using an alternative APS, admins can set up Custom Export Mapping so that the data that you need will be available in a .CSV export. Admins will want to map Categories to your Chart of Accounts on the Categories page.
Admins can also create custom Team and Expense fields and map these to additional accounting fields like Class, Department, Location, etc.
Mapping Team Fields to an accounting field in Emburse Spend
When creating a new Team field, name the column to map the field to in the "Accounting Field" window. In this example, the Team field is called "Department" and it will be mapped to a column called "Class":
Once you've created a Team field, hover over the item and click Edit.
Type the value of the corresponding Accounting Field. This is what will appear in the column for "Class":
Click Save to finish making changes.
Mapping Expense Fields to Classes in Emburse Spend
When creating a new Expense field, name an Accounting field to map to. In this example, we're mapping the "Client" field items to "Customers":
Once you've created an Expense field, hover over the item and click Edit.
Next, add a value for the Accounting Field.
Click Save to finish. The fields set up with custom mapping with be available in the .CSV export.
Mapping a Custom Team or Expense Field to an Accounting Sync
To map a custom field to an existing field in your Accounting Sync, just edit the name of the field and the name of the field you wish to map to.
Example: To map an Expense field named 'Project' to an Accounting field, click the Pencil icon in the bottom-right corner.
Name the accounting field. In this example, it is named Project Code.
Click the Pencil icon to add a field from your APS:
Click Save to finish making changes to the Accounting field.
*In order to map QuickBooks Online Classes to Emburse Spend, you need to use, at a minimum, QuickBooks Online Plus.
