Bulk Edit and Submit Transactions as a User

You can edit and submit multiple transactions at the same time from the Transactions page. This is helpful if you need to update the merchant, category, or custom expense fields for multiple expenses before submission.

Expenses with policy warnings, policy violations, or required Emburse Assurance responses cannot be submitted in bulk and must be submitted individually.

Bulk Edit Transactions

To bulk edit transactions:

  1. On the Personal tab, select Transactions.

  2. On the Pending Submission tab, check the boxes next to the transactions you want to update.
  3. To select all transactions that match your filters, check the box in the header row.
  4. Select EDIT.
  5. In the Edit Expenses window, select the checkbox next to each field you want to update.

  6. Enter or select the new values from the dropdown menus.
  7. Select SAVE.
  8. In the confirmation window, select CONFIRM EDITS.

The updated transaction information displays in the transaction list.

Bulk Submit Transactions

You can submit multiple eligible transactions at the same time from the Pending Submission tab.

To bulk submit transactions:

  1. On the Personal tab, select Transactions.

  2. On the Pending Submission tab, check the boxes next to the transactions you want to submit.
  3. Select SUBMIT.
    The Submit Multiple Expenses window displays.
  4. In the Submit Multiple Expenses window, select SUBMIT.

What Happens During Bulk Submission

During bulk submission, the system waits for all policy and assurance checks to complete before finishing the submission process.

Depending on the results:

  • Transactions without issues are submitted successfully.
  • Transactions with warnings or policy violations must be submitted individually.
  • Transactions that require an Emburse Assurance response must also be submitted individually.
Assurance check responses appear only for organizations with Emburse Assurance enabled.

Resolve Expenses That Cannot Be Submitted in Bulk

If one or more transactions have warnings, policy violations, or required Emburse Assurance check responses, the Potential Issues to Review window displays.

  1. In the Potential Issues to Review window, select OKAY.

  2. Open each expense that requires individual submission.
  3. Review the warning, policy issue, or required Emburse Assurance response.
  4. Complete the required updates or responses.
  5. Submit the transactions individually or repeat the bulk-submit steps.
You cannot force submit or resubmit transactions with warnings in bulk. Resolve the submission issues before submitting the expense again.

Expenses that require individual submission remain on the Pending Submission tab until they are resolved and submitted successfully.

  • Pending transactions without submission issues are queued for submission.
  • Pending transactions with policy violations, warnings, or required responses remain on the Pending Submission tab:
    • in Draft status if you made edits to the transaction
    • in Pending Transaction status if no edits were made
