How Can I Export My Expense Data? (CSV and PDF)

You can easily export your Transaction data from Emburse Spend with our CSV and PDF export options. Admins can export information about company-wide transactions, managers can export information about their own transactions and the transactions of individuals they manage, and members can export information about their own expenses. 

You can also create a custom export template if you'd like to customize which columns are included in your CSV exports.

If you need to export expense data for your accounting platform, the quickest way to do that is to go to your Company Settings > Bank Accounts > Reimbursement Bank Account > Reimbursement History. There, you can click Export to download and export the expense data tied to specific outgoing Bank Transfers. It's a one-click approach to getting the relevant expenses you need to book to bank transfers in your platform.

Export Transaction Data

To export data about transactions from the corporate card programs connected to your Emburse Spend account, click Transactions on your Personal, Manager, or Admin sidebar.

By default, you will be brought to a list of all of your Needs Review transactions, but you can click the circles above the list of transactions to view transactions in each section that meet these criteria:

  • Needs Review: Card transactions that are awaiting your review and approval
  • Needs Manager Review: Card transactions that are awaiting review and approval from other Emburse Spend users
  • Pending Submission: Card transactions that have not yet been submitted for approval in Emburse Spend by the cardholder
  • Completed: Card transactions that have been submitted for approval and approved

You can use the filters at the top of the page to focus on a specific subset of card transactions. 

To export all transactions that meet your filter criteria:

1. Click Export

2. By default, the export will include transactions in the section that you were in on the Transactions page when you clicked Export and any filters you had applied. Click the circles to select and deselect which sections of transactions you would like to include in your export.

3. If you have any custom export templates configured, you will see the option to select any of your custom export templates or to choose the Default CSV export option. If you don't have any custom export templates configured, the Default CSV export option will be applied automatically.

4. Choose the format you would like to export in. 

  • CSV, Pipe Delimited, and Semi-Colon Delimited exports contain raw expense data (User, Merchant, Amount, Date Submitted, Date Transacted, Approval Status, etc). For a standard comma-separated format, leave the default of CSV. Otherwise, select the delimiter that meets your needs.

  • The PDF Export contains a coversheet of the expense data along with an appendix with all of the associated receipt images. 

5. Click Export.

You will receive an email when the export is complete.

The PDF file is limited to under 10,000 transactions per export (even if each expense includes a receipt).

If you don't want to export all transactions that meet your filter criteria, you can also check the boxes next to the expenses that you would like to export and click Export.

Transactions under Pending Submission will not include any custom Team or Expense Fields that have been applied in exports.

Export Reimbursable Expense Data

If you use Emburse Spend to reimburse out-of-pocket expenses, you can follow a similar process to export expense data on the Reimbursable Expenses page.  

Click Reimbursments on your Personal, Manager, or Admin sidebar.

By default, you will be brought to a list of all of your Needs Review reimbursable expenses, but you can click the circles above the list of expenses to view expenses that meet these criteria:

  • Needs Review: Reimbursable expenses that are awaiting your review and approval
  • Needs Manager Review: Reimbursable expenses that are awaiting review and approval from other Spend users
  • Completed: Reimbursable expenses that have been submitted for approval and approved

You can use the filters at the top of the page to focus in on a specific subset of reimbursable expenses. You can also use saved filters to save your filter criteria if there are one or more exports that you need to run frequently on the Reimbursable Expenses page.

To export all expenses that meet your filter criteria:

4. Choose the format you would like to export in.

5. Check the box if you wish to export any disable expense tags.

6. Click Export.

You will receive an email when the export is complete.

If you don't want to export all expenses that meet your filter criteria, you can also check the boxes next to the expenses that you would like to export and click Export.
