How to Map Corporate Card Expenses to Accounting Software

When your company has accounting sync configured in Emburse Spend, map corporate card programs to the correct card feeds in your accounting software. This mapping ensures approved corporate card transactions export to the right accounts in your accounting platform.

Depending on your accounting setup, you can connect to one card feed or map multiple corporate cards to separate feeds. Use the steps in this article to configure card feed mapping under Settings > Accounting Integration.

After you map card feeds, approved corporate card transactions sync automatically and match to the selected feeds. If you also sync card transactions from your bank statement, those transactions will match up in your accounting software. For ongoing card program administration, see Managing Corporate Card Programs.

This capability is currently only available to organizations based in the United States.

Set Up Card Feeds

  1. Select SettingsSettings in the top right corner to open the Company Settings screen.
  2. In the sidebar, select Accounting Integration.
  3. Select the type of sync you would like to set up.

One Card Feed

If you have one card feed in your accounting system, select the second option and it will automatically populate.

Multiple Card Feeds

If you have multiple card feeds in your accounting system, select the third option. You will need to map each card to the correct feed.

Select None to view a drop-down menu of available card feeds. Select Save once each card is mapped.

When you add a new card or card program, map that card or card program to a card feed.

Now transactions will be synced into your accounting software once they are approved by an Admin and automatically matched to the card feed. Selecting your card feed here is required for the sync to match transactions to the correct card feed in your accounting platform.

When Do Corporate Card Transactions Sync?

When transactions are approved by an admin, they sync into your accounting software automatically. If you are also syncing card transactions from your bank statement, those transactions will match up.

FAQ

Q: What happens if I don't map the cards?

A: You will run into this error message: syncing_card_txes_in_multi_gl_account_mode_requires_card_to_be_mapped_to_GL_account

Reason:

The credit card is not mapped to a Chart of Accounts; therefore, the transactions cannot be exported to the accounting system.

Solution:

Go to Settings > Accounting Integration and map the card(s) to the Chart of Accounts:

Then select the Accounting Sync History button on the Accounting Integration screen.

Filter by Corporate Card Expenses and Errors Only, then select Re-Sync Record.
