Setting up Taxes with the QuickBooks Online Connector

As an administrator, use this article to turn on QuickBooks Online tax sync so Emburse Spend can import tax profiles and export tax on approved expenses.

This article applies to accounts that use the Emburse Connector on the Accounting Integration page. To confirm which integration you use, go to the Accounting Integration page. If the Connect action displays Connect via Emburse Connector, or your connected accounting integration description states that your account is syncing via Emburse Connector, use this article.

Prerequisites

Before you begin, confirm the following:

QuickBooks Online Tax Sync

Tax sync applies only with the Emburse QuickBooks Online Connector. Go to Accounting Integration. If QuickBooks Online is not connected through this connector, tax data does not sync. Export tax data manually. See Export Your Expense Data (CSV and PDF).

QuickBooks Online pre-groups tax, so Emburse Spend syncs a single tax type and all tax codes. You do not need to select regions. When at least one expense line in a QuickBooks Online batch includes tax, every line must include tax. Select a Default Zero Tax Profile as the fallback for lines that do not contain tax.

Tax profile capture, synchronization, and export behavior may differ for organizations outside the United States. Review regional tax requirements before you export expenses to QuickBooks Online.

Emburse Spend syncs tax from QuickBooks Online. In QuickBooks Online, you can only turn tax on or off. QuickBooks Online allows one tax code per expense item.

Configure Tax with the QuickBooks Online Connector

Complete these steps to pull tax data from QuickBooks Online and export tax on approved expenses.

  1. In Emburse Spend, go to Company Settings > Accounting Integration.
  2. Select CONFIGURE SETTINGS.
  3. Accounting Integration page with QuickBooks Online connected and Configure Settings available.

  4. On the General page, under Taxes, turn on Sync Taxes.
  5. Select Refresh, then select a Default Zero Tax Profile.

  7. Select Check Your Configuration, then select Save and Close.
  8. Review page with Check Your Configuration validated and Save and Close available.

  9. Select IMPORT DATA FROM QUICKBOOKS NOW.

Review Imported Tax Profiles

After a successful import, Tax Profiles page will be available, you can set the currency and turn on the tax codes that apply.

  1. Go to Company Settings > Tax Profiles. The list shows each imported profile, including status, name, applicable taxes, and currency. ADD TAX PROFILE is unavailable for profiles imported from the Emubrse Connector.

  3. Select the edit icon on the imported profile.

  5. Select Currency Code.

  7. Turn on only the taxes that apply, then select Save.

Imported identity fields, including the profile name, are managed by the Quickbook Online accounting system and cannot be edited.

On an expense, locate the Tax Profile field. The field displays only when the expense currency matches a tax profile.
