Store and View Receipts on the Receipts Screen

If you are submitting an expense for reimbursement, the easiest thing to do is create your expense as soon as you are given your receipt. But you may also upload receipts to your Receipts screen in Emburse Spend to store them for later.

This is especially useful if you are managing a linked credit card in Emburse Spend and need to expense the imported transactions. You can use the Receipts screen to store your receipts immediately so that they are easily accessible when the card transactions appear in Spend—usually 1-2 days after the purchase is made, depending on the merchant.

While admins may not view an employee's Receipt screen directly, they do have the option to browse for receipts that have been uploaded to the employee's Receipt screen when submitting a card transaction on the employee's behalf. See Access Receipts as an Admin, below.

Supported File Types

We support the following file types for receipt images: .PDF, .PNG, and .JPG

The maximum file size is 5 MB for receipt images and 10 MB for PDF files.

Upload Receipts Directly 

To upload receipts directly to your Receipts screen in Emburse Spend, navigate to the Personal tab, click Receipts, and then click the Upload Receipts button in the top right corner of the screen.

Forward Emailed Receipts to Emburse Spend

For receipts that are emailed to you by merchants, just forward those emails to receipts@spend.emburse.com. We will save the body of the email and any attachments as PDF images in your Receipts screen in Emburse Spend. 

You will also be assigned a dedicated receipt forwarding email. Anyone can use this email address to forward receipts to your personal receipts foldder in Emburse Spend. For example, if a colleague is purchasing something on your behalf, they may forward the receipt to your Receipts screen via email. 

To access this email address, navigate to your Receipts screen and click on the Email Receipts button. You can regenerate this email if necessary.

When you forward an email receipt to receipts@spend.emburse.com, you may add a note in the body of the email. This will be saved with the receipt and save you a step when you are ready to submit your expense.

Once you attach the receipt to the expense (or once the receipt matches with a card transaction), the note you added will automatically populate in the Note field on the expense.

Use the Spend App to Snap a Photo of a Receipt

When you open up the app, click the receipts button to open the camera.

Once your camera is open, snap a picture with the white button in the middle.

Click the button in the lower right corner to access the gallery on your phone so that you can store a receipt image in your Emburse Spend Receipts screen. 

Each time you snap a picture, the image will be saved to your Emburse Spend receipts screen. To add a note to the receipt image, just tap the image at the top of your screen.

Once you have saved your note, click the receipt image at the top of the app to return to the camera. To exit the camera, just click the X at the bottom right of the screen.

Access Receipts as an Admin

While admins are unable to view an employee's Receipt screen directly, they do have the option to browse for and attach receipts that have been uploaded to the employee's Receipt screen when submitting a card transaction on the employee's behalf.

1. In the Admin menu, click Card Transactions > Pending Submmission and click on one of the employee's transactions. Then click the Edit button on the transaction preview.

2. On the Edit Expense Details screen, click Browse Gallery in the receipt preview.

3. You will be able to see all the receipts in the Receipts screen of that user. Use the Search box at the top to narrow your results.
