Connect a Business Tier Corporate Card Program

Connect a Business Tier Corporate Card Program

Follow the steps below to connect your organization's Business Tier corporate card program to Emburse Spend, including card programs issued by banks outside the United States. An admin may invite corporate card users to connect their company cards, giving you central management of each cardholder's corporate cards and real-time insight into corporate card spend.

We also offer direct integrations for all Commercial Tier corporate card programs. If you are using one of these, see Connect a Commercial Tier Corporate Card Program for more details.

Notes on Different-Currency Programs

You can connect a Business Tier card program even when the program currency does not match your company's default currency or an employee's home currency. The connection steps are the same as for a domestic program.

After you connect the program, keep the following in mind:

  • Transaction currency. Card transactions import in the currency reported by the card issuer. Amounts may display in the transaction currency, your home currency, or both, depending on your account settings and whether the employee has a home currency assigned. See Using Foreign Currencies and Setting a Home Currency for Your International Employees for details.
  • Currency conversion. For corporate card transactions, conversion is performed by the card issuer. Manually entered expenses use the exchange rate for the expense date. See the Exchange Rates and Conversion section in Using Foreign Currencies.
  • International employees. If cardholders are based outside the United States, confirm that International Mode is enabled and that each employee's home currency is set before they connect a personal bank account. See Setting a Home Currency for Your International Employees.
  • Accounting sync. If you sync card expenses to accounting software, map each card to the correct card feed on the Accounting Sync tab. Confirm with your accounting team that multi-currency card feeds are configured correctly in your accounting platform.

If your bank does not appear in the card program search or you need help connecting a program denominated in a currency other than your company default, contact Emburse Spend Support.

Prerequisites

  • Each cardholder must have their own set of login credentials for their financial institution, unless your issuer supports program-level connection with a single program-level or authenticating login. In the United States, the following Business Tier programs support program-level connection:
    • American Express
    • Bank of America
    • Capital One
    • Chase
    • Citi
  • Availability varies by region and issuer.
  • If your team does not have individual login credentials, contact your bank representative or search online for enrollment instructions for your bank's online banking portal.

If your company's card program is not currently supported by Emburse Spend's direct-connect method, see Create and Manage a Statement Upload Corporate Card Program.

1. Find Your Bank

  1. To add a Business Tier card program to your account, navigate to Card Programs in the Company Settings sidebar.
  2. Banks offered for Business Tier card programs may differ based on geographic region.

  4. Card Programs screen with Add Card Program button

  1. Select or search for your bank.
  2. Bank selection screen on the Add Card Program flow

  3. Follow the prompts for the card connection you selected. Enter your credentials to authenticate the account.

If you have already linked a Chase Business Tier card program to your account, select the More Actions button next to the existing card program and choose Add New Account.

We strongly advise against using other methods to add a new card, as they may deactivate the existing connection.

Organizations with American Express, Bank of America, Capital One, Chase, and Citi Business Tier cards need only the program-level or authenticating login credentials to connect the full card program. These are the primary login credentials created when the account was set up.

After you connect the program, Emburse Spend pulls in all cards once transactions post on each card.

All Other Banks

If you select All Other Banks, Emburse Spend asks whether your cards are Commercial Tier or Business Tier.

If you are not sure which card tier you have, having a dedicated bank representative likely means your cards are Commercial Tier. You can confirm your card tier with your bank representative. See Connect a Commercial Tier Corporate Card Program for more details.

2. Add Cards

After you set up the card program with your bank, you may invite team members with Emburse Spend accounts to the card program by either creating new cards for each user or assigning existing cards to users. For complete details, see Assign Corporate Cards to Users.

For issuers that support program-level connection—e.g., American Express, Bank of America, Capital One, Chase, and Citi Business Tier programs in the United States—you do not need to invite cardholders to add their cards. Emburse Spend adds those cards automatically once transactions post. New cards in your card program do not display until transactions post on the card.

3. Manage Cards

After you connect a corporate credit card program, you can reassign and remove cards as needed.

  1. On the Card Programs screen, find the card program and select More Actions.

  2. More Actions menu on the Card Programs screen

  3. Select Manage Cards.

  4. Use the tabs on the Manage Card Program screen to choose among Unassigned, Assigned, Canceled, and Deleted card categories.

    • To assign a card, select a cardholder from the User dropdown menu next to the card name.

    • To unassign a card, select Remove user under the cardholder's name.

    • Select the trash can icon to delete and unassign a card.

  5. Manage Card Program screen with Unassigned, Assigned, Canceled, and Deleted tabs

  6. Select SAVE.

4. Sync Corporate Card Expenses to Accounting Software

If you have a sync set up with your accounting software, you may choose to connect to a single card or to multiple card feeds. See How to Map Corporate Card Expenses to Accounting Software for complete details.

To maintain data accuracy and avoid duplication, do not add multiple instances of the same card feed to Emburse Spend. Duplicate feeds can result in inconsistent transaction data and reporting. Always check for existing feeds before creating a new one.

Reauthorize Your Connection

Occasionally, security requirements cause a Business Tier corporate card program's authentication token to expire after 90 days of connectivity. Emburse Spend also emails customers twice per week when a card program disconnects and requires reauthorization.

  1. When an admin signs in, Emburse Spend prompts them to reauthorize any disconnected cards.

  2. Login prompt to reauthorize disconnected corporate card programs

  3. Emburse Spend redirects admins to the Card Programs screen under Company Settings. A warning message displays at the top of the screen.

  4. Card Programs screen showing a disconnected card program warning

  5. Select Re-connect Your Card below the card program name and follow the prompts to reauthorize the connection.

  6. Re-connect Your Card option on a disconnected card program
